Vault
Notes and files are encrypted and stored in the Vault. Only the client's name, email, phone and status fields are copied to the front desk.

Every file uploaded to this book, newest first. Open shows it in a new tab when the browser can (PDF, images, text) and saves it otherwise; Download always saves it. Each one is recorded in the activity log.
What enrollment sites ask about you, the agent: ScMo Autofill fills their Agent / Broker boxes from here, and the client card names who created and last changed each record. Only people in your book and administrators can see it.
Books
One book per agent. Open shows a book in the other tabs for half an hour, whether or not anyone has been invited into it yet — so it can be got ready first. The activity log records it under your name.
Make a book
For a new agent. The short name is where their files are kept and can never be changed, so it is shown before anything is made. A book made here keeps everything in the Vault; connecting it to the front desk is a separate step.
Invite an agent
Creates their sign-in and emails them a temporary password that lasts 3 days. They choose their own password and set up an authenticator app the first time they sign in. An agent belongs to one book. Administrators are not made here.
Books
Agents
Every sign-in, and how far along each is from what the Vault can prove. Work as opens that agent's book in the other tabs for half an hour, so you can fill in their profile, import their clients and file their documents. Invitations and new books are on the Onboarding tab. Everything here is recorded under your name.
To bring in an agent's existing records: Work as them, then Clients → Import CSV for their client list, then Documents → Import a ZIP for their files (one folder per client, named like the client).
Anything that did not go through
Activity
Who looked at or changed what. Field names only — the log never holds a value, and this page cannot read a client record.

Where things are
The buttons down the left side are the whole Vault. You are in one of them now.
What each tab is for
- Start here — send notes and files about a client.
- Clients — everyone in your book, and everything the Vault knows about them.

- My profile — your own details, used to fill in forms on other sites.

Go back to the list of clients
When one client is open.
- Click ← All clients at the top.
Stop for the day (sign out)
- Click Sign out at the top right.
The Vault also signs you out on its own after a while of doing nothing. Nothing is lost: everything is saved as you go.
Send notes and files
This is the Start here tab. It is the quickest way to get something into the Vault.
Send notes about a client
- Click Start here on the left.
- In the box at the top, pick what you are sending.
- Type your notes.
- Put the client’s email or phone on a line of its own, like
Email: maria@example.comorPhone: 727-555-0142. That is how the Vault knows whose notes these are. - Click Submit securely.
It is safe in the Vault straight away, and shows up under the client in about a minute.
Send a photo or a file
- Click Start here on the left.
- Click Choose File next to Attachment and pick your file.
- Type a note as well if you can, with the client’s email or phone on its own line. That files the picture under the right person.
- Click Submit securely.
Make sure it reaches the right client
The Vault matches on the email address or the phone number in your notes, not on the name. Two people can share a name; they do not share an email.

Email: ...orPhone: ...on its own line. - If you write neither, the file still arrives — it waits in Documents until someone says who it belongs to.
See what happened to something you sent
- Click Documents on the left. Your file is at the top of the list.
- If the client’s name is beside it, it landed on the right person.
- If it says it is not matched to a client yet, see Say which client a file belongs to below.
Clients
This is the Clients tab. Everything the Vault knows about the people in your book.
Find a client
- Click Clients on the left.
- Start typing a name, an email or a phone number in the box at the top.
- Click the person you want.
See everything about one client
- Find the client and click their name.
Their card shows contact details, address, personal details, Medicare, money and household, their files, and who last changed the record.
Copy an email, a phone number or an address
- Open the client.
- Click Copy beside the line you want.
It is on your clipboard: paste it wherever you need it.
See a Social Security number or bank numbers
- Open the client.
- Find Social Security number (or the bank lines under Medicare).
- Click Show.
These are hidden until you ask, and each time somebody asks it is written in the activity log with their name. That is on purpose.
Add one client by hand
- Click Clients, then + Add client.
- Fill in what you know. An email address or a phone number is required — everything else can wait.
- Type the ZIP code and the city, state and county fill themselves in.
- Click Save.
If that person is already in your book, the Vault says so and offers to open them instead of making a second copy.
Change a client’s details
- Open the client.
- Click Edit.
- Change what you need. To clear something, empty the box.
- Click Save.
Every client must keep an email or a phone. If someone else changed the record while you had it open, the Vault stops and asks you to look again rather than writing over their work.
Add a lot of clients at once, from a spreadsheet
- Save your spreadsheet as a CSV file.
- Click Clients, then Import CSV, and choose the file.
- Look at what it shows you: which column is which, and how many rows it will add or update.
- Click Start import.
Your file needs an email or a phone column — that is how each row is matched to a person. Rows that already exist are updated, not duplicated.
Add a file to one client
- Open the client.
- Scroll to Documents at the bottom of their card.
- Click Choose File, pick it, then click Add file to this client.
Take a client out of the Vault
- Open the client.
- Scroll to the bottom and click Remove from Vault….
- Read the question and click Yes, remove.
They leave your list and the front desk stops hearing about them. Nothing is destroyed: their files and history are kept, and an administrator can bring them back.
Practise on the TEST client
A book can hold one pretend client, marked TEST in amber. It is nobody: every box is filled in with details that belong to no real person, so you can try anything on it.
- Open it like any other client and poke around.
- Use it to try ScMo Autofill on a real enrollment page — but never send the form.
Files
This is the Documents tab. Every file in your book, newest first.
Find a file
- Click Documents on the left.
- Type a client’s name in the box, or pick a kind of document.
- Tick Not yet matched to a client to see only the ones still waiting for a name.
Open or save a file
- Find the file.
- Click Open to look at it, or Download to save it on your computer.
Every open and every download is written in the activity log with your name.
Give a file a name and say what it is
- Find the file and click Label.
- Pick what it is (Medicare card, signed form, and so on) and type a title.
- Click Save.
Worth doing: it is how you find the file again next year.
Say which client a file belongs to
- Find the file and click Attach to client.
- Start typing the client’s name and pick them from the list.
- Click Attach.
It now shows on that client’s card too.
Delete a file, or bring one back
- Find the file and click Delete.
- Changed your mind? Tick Show deleted files, find it, and click Restore.
Delete only hides it. The file itself is kept, and both the deleting and the restoring are in the activity log.
Upload a file here instead of on Start here
- Click Documents, then Upload a file.
- Choose the file.
- Pick the client it is for, or leave No client yet and attach it later.
- Say what it is and give it a title if you like, then click Upload.
You and your sign-in
Fill in your own details
- Click My profile on the left.
- Fill in your NPN, name, agency and the rest.
- Click Save profile.
ScMo Autofill types these into the Agent or Broker boxes on enrollment sites, so you only ever fill them in once. Only people in your book and administrators can see them.
Change or reset your password
- Click Sign out.
- Click Sign in, then Forgot your password? on the sign-in page.
- It emails you a code. Type the code and pick a new password.
You have a new phone, and your codes have gone
- Ask an administrator to reset your authenticator.
- Sign in as usual. It will walk you through setting up the app again on the new phone.
Nobody can do this by email or text — it has to be a person who can check it is really you.
Filling in forms on other sites
ScMo Autofill is a small helper that lives in Chrome, beside the Vault.
What ScMo Autofill does
It types a client’s details into an enrollment site for you, out of the Vault, so you are not copying a date of birth by hand and hoping.
It reads the Vault; it never writes to it. If you do not have it yet, ask SchemaModus.
Fill a form with a client’s details
- Open the enrollment page in Chrome.
- Open the ScMo Autofill panel and sign in with the same account you use here.
- Pick the client.
- Click Fill, then check the page before you send anything.
Practise without touching a real form
- Go to the practice page:
vault.scmo.ai/practice.html. - Pick the TEST client in the panel and click Fill.
That page sends nothing anywhere. It is only there to practise on.
When something goes wrong
Tell us about a problem
- Click Report a problem at the top right.
- Say what you clicked, what happened, and what you expected instead.
- Click Send report.
Do not put client details in it — no names, dates of birth or numbers. The report leaves the Vault by email, and it will refuse anything that looks like a Social Security number, a Medicare number, a bank number or a date of birth.
It says a client needs an email address or a phone number
Every client must keep one or the other. It is how notes and files you send later find their way to the right person.
- Put back an email or a phone, then save again.
It says the file is too big, or the wrong kind
- One file at a time, up to .
- A photo from a phone is usually fine. A long scan may need splitting in two.
The file I sent is not in the list yet
- Wait about a minute and click Refresh.
- Still nothing? Check Documents with Not yet matched to a client ticked — it may have arrived without an email or phone to match on.
It signed me out in the middle of something
- Sign in again and carry on. Anything you had already saved is safe.
Sign-ins do not last forever, on purpose: a screen left open in a coffee shop stops being a way in.
It says my book is not switched on
Your sign-in works, but your book has not been set up for this part of the Vault yet, or the subscription has lapsed.

Words we use
What these words mean
- Book
- One agent’s clients. Yours is the only one you can see.
- The front desk
- The system that sends emails and texts to clients. It is told a client’s name, email and phone — never a date of birth, a Social Security number or anything medical. Those stay in the Vault.
- The Vault
- This. Where the whole record lives, encrypted.
- Activity log
- The list of who looked at or changed what, and when. It keeps field names, never values.
- Authenticator app
- The app on your phone that shows a 6-digit code when you sign in.
- NPN
- Your National Producer Number. Enrollment sites ask for it, so the Vault keeps it on your profile.
- TEST client
- A pretend client, marked in amber, for practising on.
